Privacy Policy

Effective 9 September 2026. This policy applies to www.victoriamediation.ca. It does not cover Divii, which is a separate service with its own privacy policy.

Who we are

Victoria Mediation is the family mediation practice of Rebecca Alleyne, a family lawyer and accredited family mediator in Victoria, British Columbia. We are responsible for the personal information collected through this website.

Because we are a private-sector organisation in British Columbia, our handling of personal information is governed by the province's Personal Information Protection Act. Where we act as your lawyer or your mediator, we are also bound by the professional obligations of the Law Society of British Columbia, which are stricter than this policy, and by the confidentiality of the mediation process itself.

What we collect, and why

When you send us a message

The contact form asks for your first name and email address, and optionally your last name and phone number, along with your message. We use these only to answer your enquiry and, if you go on to work with us, to open your file. We do not add you to a mailing list from that form.

When you take the quiz

The two-minute quiz asks for your name and email so we can send you your personalised roadmap, and we record which of the recommended paths your answers pointed to.

We also keep your answers. In two forms: a plain list of each question and the answer you chose, stored with your enquiry, and the link to your roadmap, which has your answers encoded into it so that the page can be reopened. Both are stored in whichever system your result routes you to. Results pointing to mediation with Rebecca or Isabella, and results suggesting a conversation first, go to Clio Grow. Results pointing to Divii go to HubSpot. Your roadmap email is sent through SendGrid. All three are in the table below.

We keep your answers because they tell us your situation before we speak, which is the whole point of asking, and because a recommendation is not much use to us without the reasoning behind it. We do not keep the scores the quiz calculates, and that calculation never leaves your browser. As with any personal information we hold, you can ask us for a copy of your answers or ask us to delete them, using the details at the end of this policy.

The quiz also offers an optional tick box to receive occasional guidance emails. If you leave it unticked we send you your roadmap and nothing further.

When you book a meeting

Our booking links open Clio Grow, which is separate software we use to manage enquiries and appointments. Whatever you enter on those booking pages is collected by Clio on our behalf, and is subject to Clio's own privacy terms as well as this policy.

When you simply read the site

We use Google Analytics to understand how the site is used: which pages people read, how they arrived, roughly where in the world they are, and what kind of device and browser they use. This sets cookies in your browser. It tells us that a page is or is not doing its job. It does not tell us who you are, and we do not try to identify individual visitors from it.

Our homepage embeds a video from YouTube, and our contact page embeds a Google map. Both set cookies from Google when the page loads, whether or not you interact with them.

Our host, Netlify, keeps standard server logs, including IP addresses, for security and troubleshooting.

Who else handles your information

We use a small number of established services to run the practice. Each one only receives what it needs.

This means information you send us is stored and processed outside Canada, in the United States. While it is there it may be accessible to United States courts and authorities under the laws of that country. We tell you this because British Columbia law expects us to, and because you are entitled to decide what you send us knowing it. If you would rather not use this website at all, you are welcome to telephone the office instead.

We do not sell personal information, and we do not share it for anyone else's advertising.

How long we keep it

We keep an enquiry for as long as we need it to answer you and, if you become a client, for as long as our professional and legal obligations require us to keep your file. Enquiries that do not turn into work are not kept indefinitely. Website statistics are kept in aggregate on Google's standard retention schedule.

Cookies, and how to turn them off

You can block or delete cookies in your browser settings. Google also publishes a browser add-on that stops Google Analytics collecting anything at all, at tools.google.com/dlpage/gaoptout. Blocking these cookies will not stop you using this site or reaching us. The forms will still work.

Your rights

Under British Columbia's Personal Information Protection Act you may:

• ask what personal information we hold about you, and get a copy of it
• ask us to correct anything that is wrong
• withdraw your consent to our use of it, on reasonable notice
• ask us how we are protecting it

Write to us using the details below and we will respond within the time the Act allows. There are narrow situations where we cannot hand over everything, the clearest being information that is subject to solicitor-client privilege or that would reveal personal information about the other party to a mediation. If that applies we will tell you which exception we are relying on.

If you are not satisfied with how we have handled your information or your request, you may complain to the Office of the Information and Privacy Commissioner for British Columbia at oipc.bc.ca.

Keeping it safe

The whole site is served over an encrypted connection. Access to enquiries and client files is limited to the people in the practice who need it. Our suppliers are chosen in part for their own security practices. No system is perfect, and we do not claim otherwise, but if something went wrong in a way that put you at risk we would tell you.

Children

This site is written for adults going through a separation. We do not knowingly collect personal information from children. Where a mediation concerns children, any information about them reaches us from their parents through the mediation itself, not through this website.

Changes to this policy

If we change how we handle personal information we will update this page and change the effective date at the top. Significant changes will be flagged here rather than made quietly.
